Cloud accounting features

Features Built for Singapore Cloud Accounting

Mospirel covers the accounting tasks a Singapore SME handles every week: GST, bank reconciliation, invoicing, multi-user access, and reporting. This page explains what each feature does and where it fits in your workflow.

Where to start

Nine chapters below, in the order most teams adopt them. If you only fix one thing this quarter, start with GST codes and bank feeds — those two decide how clean your year-end is.

Chapter one

GST handling for IRAS filings

Tax treatment is decided at the transaction, so the return is a summary of records you already keep — not a scramble in the last week of the quarter.

Codes on the line, not the return

When you post a sale or purchase you assign the treatment there and then. Zero-rated and exempt supplies are kept separate from standard-rated ones, which is where most classification errors at filing time come from.

The F5 return draws from your ledger

Boxes on the GST F5 return are fed by the coded entries for the period you select. If you are GST-registered, or trading close to the threshold, you can see what the return will say before you file it.

A review, not a rebuild

Because the treatment already sits on each line, filing turns into checking totals and unusual entries rather than re-reading a quarter of paperwork. Corrections are posted as adjustments and stay visible in the audit trail.

Chapter two

Bank reconciliation and feeds

Connect your business bank account and transaction lines arrive on a schedule. Matching rules learn your regular counterparties, so recurring payments are suggested to the right account instead of being typed in again.

The unmatched queue is the point

Anything the rules cannot place stays in a queue until a person clears it. That keeps the reconciliation accurate rather than tidy-looking — you always know which lines are still open, and the balance you see is one you can stand behind.

  • Matching rules learn regular counterparties and suggest the account
  • Unmatched lines wait in a queue with the person who cleared them recorded
  • Multiple accounts each reconcile on their own, so one does not hide another

Multi-currency setups

If you invoice or buy in more than one currency, each account reconciles against its own statement. Exchange differences post where they belong instead of being buried in a rounding line.

A weekly habit, not a year-end project

Teams that clear the queue every Friday spend minutes on it. Teams that leave it until the accountant asks spend days. The tooling is the same; the calendar is the difference.

Chapter three

Invoicing and receivables

For businesses issuing many small invoices, this is where most of the weekly time is saved.

Create and send

Build invoices from a template so they look the same every month, then email them from inside Mospirel. The invoice, the customer record, and the receivable line are one entry, not three.

Recurring invoices

Retainers and monthly fees can be scheduled once and left alone. Set the start date, the interval, and the amount; the invoices issue on their own and land in the same receivable list as everything else.

Payment status that means something

An invoice reads as paid when the matching bank line is reconciled, not when someone remembers to tick it. That single link is what makes aged receivables trustworthy enough to chase from.

Following up without guesswork

The aged receivables report shows what is overdue and by how long, grouped by customer. You can decide who gets a reminder today and who gets a call, using figures that already include cleared payments.

Chapter four

Multi-user access and roles

Each person gets their own login with a role attached. You decide who can post journals, who can see payroll, and who can only read reports — and every entry records the user and the time it was posted.

Separate logins, separate scope

An external accountant can post journals without touching payroll or bank settings. A sales admin can raise invoices without seeing the general ledger. Roles are set once and stay in place.

Every entry is attributed

The posting user and the posting time are recorded with the transaction. When a figure looks odd six months later, you can see who entered it and when, rather than guessing from memory.

Offboarding in one action

When someone leaves, their access is removed as a single step. No shared password to change across the team, no leftover login that nobody remembers to close.

Chapter five

Real-time reporting

Figures update as transactions post, so month-end becomes a review rather than a rebuild. Reports export in formats your accountant already accepts.

The set is the working statements a Singapore company needs for ACRA filing and for internal decisions — the same numbers, seen by whoever needs them, without a parallel spreadsheet drifting out of date.

Performance

  • Profit and loss
  • Balance sheet
  • Cash flow

Position and compliance

  • Aged receivables and payables
  • GST summary for the period
  • General ledger and trial balance

Any period you select, current or historical. Run a report mid-month to check where you stand, then run the same one after month-end close — the difference should be new entries, not corrections to old ones.

Chapter six

Mobile access

Mospirel runs in a browser, so you can check invoices, approve entries, or view reports from a phone or tablet. Day-to-day bookkeeping is still easier on a larger screen, but approval and review work fine on mobile.

This is useful for directors who are travelling, for signing off a payment outside the office, and for answering a supplier question while you are on site. Nothing needs installing, and nothing is stored on the device.

Chapter seven

Integrations with banks, POS, and inventory

Bank feeds are part of the standard setup — that one is straightforward. Point-of-sale and inventory integration depends on the systems you already run, so we confirm what connects before you commit to anything.

If you run retail or trading operations with stock, tell us your current setup and we will map out what data flows automatically and what stays manual. A short call is usually enough to say which parts are worth automating and which are not worth the trouble.

Banks

Business account feeds are configured during setup, with each account reconciling separately.

Point of sale

Daily takings can flow in as summarised sales, or stay as manual entries if your till setup does not support a feed.

Inventory

Stock movements can drive cost of sales where the system exposes them; otherwise inventory stays a periodic adjustment.

Not sure what connects?

Send us the names of the systems you use and we will tell you honestly which ones integrate, which need a workaround, and which are better left as a manual step you do once a month.

Chapter eight

Payroll integration

For businesses with staff, payroll integration keeps salary entries consistent with your accounting records. You avoid re-entering the same figures in two systems and reduce the risk of a mismatch at year end.

If you already use a payroll provider, we can discuss how the data should flow into your books — which figures post automatically, which need a review step, and who in your team approves them before they land.

Chapter nine

Data migration and setup

Setup starts with your existing records: a trial balance, a chart of accounts, or an export from your current software. We map it into Mospirel, open bank feeds, and check opening balances before you post anything new.

Migration is done with you rather than through a blind import, so the opening position is verified and you know what each figure came from. It is usually the least glamorous part of a switch and the one that decides whether the first month is calm.

Access control and data handling

Permissions are set by role, so you decide who can view payroll, who can post journals, and who can only read reports. Sessions are tied to individual accounts rather than shared passwords.

We keep the permission model simple and explain what each role can do, so your team is not guessing and nobody is handed more access than their job needs. If your accountant or an external bookkeeper works on your books, they get their own login and their own scope.

Owner or director

Full access, including bank settings, payroll, and role changes.

Accounts staff

Post journals, reconcile accounts, and run reports. No payroll or role administration.

External accountant

Journal posting and read access for review work, without bank or payroll settings.

Read-only reviewer

See reports and figures without changing any entry. Useful for advisors and board members.

Roles are described to your team in plain language during setup, so everyone knows what they can and cannot change before they start working.

Questions we get before a demo

If your question is not here, ask it directly — the answer is usually a two-minute conversation rather than a page of documentation.

Do I need to be GST-registered to use the GST features?

No. Tax codes can be applied from the start, so if you cross the threshold later your records are already structured the right way. Businesses that are not registered simply leave the codes inactive until they need them.

Which bank accounts can be connected?

Most Singapore business accounts can be connected during setup, and each one reconciles on its own. Tell us which bank and account type you use when you enquire and we will confirm before anything is configured.

Can my external accountant work in the same account?

Yes, with their own login and a role you set. They can post journals and review reports without access to payroll or bank settings, and their entries are attributed to them in the record.

How long does migration from my current software take?

It depends on how tidy your existing records are and whether you can export a trial balance. We agree the scope before starting, work through the mapping with you, and check opening balances together before you post new transactions.

Is there a mobile app to install?

No installation is needed. Mospirel runs in a browser on a phone or tablet, which is enough for checking invoices, approving entries, and viewing reports. Full bookkeeping still works best on a larger screen.

Talk to us about your setup

Tell us how your business is registered, which systems you already run, and what you want out of the switch. We will tell you which of these features you will actually use in the first month — and which can wait.
